POSITION SUMMARY: Coordinates all master clinic schedules including physician, resident, and clinical support staff schedules. Monitors and notifies all parties involved regarding time changes and schedules. Coordinates pre-admission and ancillary testing done in department. Coordinates and schedules elective and emergent surgeries. Coordinates surgery grand rounds and visits.
MINIMUM QUALIFICATIONS:
EDUCATION, CERTIFICATION, AND/OR LICENSURE:

High School or equivalent level of education.
EXPERIENCE:
1.
2 years medical office experience required.

1.
Responsible for master clinic scheduling. Reviews schedules: adds and deletes clinics.
2.
Monitors all physicians, residents clinical support staff schedules.
3.
Ensures monthly clinic call schedule is maintained.
4.
Schedules staff and operating rooms based on physicians s chedules. Reschedules patients due to overbooked or canceled clinics..
5.
Coordinates specialty clinics as needed, working closely with clinic manager to ensure proper scheduling, staffing and processes.
6.
Responsible for all department elective and emergent surgery scheduling. Assists in scheduling urgent and emergent surgeries
7.
Schedules surgeries in Ruby Memorial Main Operating Room, the Physician Office Center Minor Surgery Room, the Ambulatory Surgical Center and the Cancer Center.
8.
Schedules all pre-admission testing for cases. Coordinates all pre-operative and ancillary testing needed prior to surgery.
9.
Communicates information regarding impending surgery to patients and their families, within scope of kno wledge.
10.
Arranges pre-certification and authorization with third party payers as necessary.
11.
Displays intimate knowledge of procedure schedule; will be required to have in depth understanding of Clinical staff, equipment and OR availability, to provide requested procedures.

Works with the patient to provide appropriate appointment for procedure. Updates patients of procedure details. Send patient a letter (copies referring provider), with detailed instructions (required prescriptions if applicable), as well as appointment card.
13.
Coordinates patient calls 3-4 days before procedure - will be required to follow up until answer. Required to adhere to parameters put in place by division to supply highest level of service.
14.
Completes any missing information; provides Referring Clinical Staff with request forms that aid in the determination of medical procedure, necessity of treatment, and/or necessary follow up. Scheduler serves as a contact for future questions or concerns.
15.
Confirms patient procedures within the Suite for Clinical staff.
16.
Works closely with Clinical staff to accommodate procedure requests.
17.
Coordinates patient care with various clinics, pre-admission testing, and staff, within the Clinical Enterprise to accommodate procedure requests.
18.
Required to work closely with Clinic Call center to decrease clinic back log by scheduling procedure appointments - those in need of procedure decided upon by Clinical Staff. Required to work closely with Clinic M anager as well as clinical staff, to accommodate procedure requests.

Position will require constant interaction between clinic staff to manage procedure requests, maintain full schedules, as well as accommodate time sensitive requests

Arranges and confirms pre-certification and authorization with third party payers when necessary. Collects and provides necessary information for this process.

Deliver necessary paper work to pre-certification people. Responsible for gathering and presence of necessary information

Required to understand the procedure schedule, preference of staff physician performing the procedure, as well as other information that could determine patient presenting to procedure room. Intent is to work with all parties involved, under the dir ection of the Lead (Staff Physician, clinical staff, referring physician office, and patient) Ultimate intent of accomplishing 100% procedure show rate.

If procedures are canceled, requirement is to pull future cases/appointments to keep procedure schedule full; directed by Lead. This will require careful management and knowledge of internal staff schedules and preferences. Scheduler will be responsible for filling gaps with patients that require procedure. This will involve working with Clinical Staff, or referring physician office to manage schedule.

Prepares updates for physicians , and develops new ways of maximizing clinic, procedure and OR times.
25.
Secretarial duties as necessary for division. Cross-coverage for other department schedulers as needed.
