Office Assistant

Location: Fairmont West Virginia

JOB SUMMARY : To assist the physician(s) or designated mid-level provider (s) in the daily business operations of his/her practice with strong emphasis on interacting with! patients in a quality customer service oriented environment. Executing these responsibilities with a focus on the mission and values of the FPN and Fairmont General Hospital (FGH) and its affiliate organizations in a collaborative and patient/customer focused manner.

RELATIONSHIP/INTERACTION : Patients, customers, physician(s) or designated mid-level provider (s), coders, insurance company representatives, centralized scheduling, operating room staff, medical records personnel, and hospital Controller. Position will require re-assignment to other locations or practice areas within the FPN organization at any given time. Position will require the execution of the duties and responsibilities outlined in this Job Description at various offices regardless of practice specialty, location practice area, or hours of operation which may include evenings, weekends and holidays.

QUALIFICATIONS:
Education

High school diploma

Gener! al

Excellent oral and written communication skills. M! ust have strong time management and organizational skills. Must be a team player, working collaboratively to meet organizational goals. Must have strong patient/customer service and problem resolution skills. Strong interpersonal skills with an ability to work effectively with a wide range of people, teams, managers, supervisors, and vendors. Encourages teamwork; energetic, and motivates teams and individuals Ability to make sound and evaluative judgments; strong organizational, problem solving and analytical skills. Knowledge of physician(s)’ or designated mid-level provider (s) practice billing procedures, documentation, and standards. Working knowledge of cash management principles and/or procedures. Works closely with and knowledgeable about operational characteristics and procedural requirements of third party medical insurance payers. Must be computer literate; working knowledge of electronic medical records (EMR). Proficiency in desktop applications including Word,! Excel and Power Point, with a high level of skill in spreadsheet development. Additional working knowledge of medical ethics, and compliance required.

RESPONSIBILITIES:
This job description is intended to provide a comprehensive set of responsibilities. Position may be required to perform other functions in a coordinated team effort or as requested by the FPN management, physician(s) or designated mid-level provider(s) or other executives.

Patient and Customer Service
Actively participate in the implementation of FPN Corporate procedures and policies that will ensure excellence in patient care and customer service. Actively participate in the execution of customer service activities, demonstrating active problem solving, timely follow up, assisting in patient and customer response and access. Assist with patient/customer service needs assessments, quality initiatives and access surveys. Demonstrate excellent customer service to both interna! l and external customers through positive communications and profession! al behavior.
Team Work
Must be a team player, working collaboratively to meet organizational goals. Keep a positive attitude in the workplace. Perform other functions in a coordinated team effort, or as requested by the physician(s) or designated mid-level provider (s).
Compliance, Regulatory and Risk Management
Support compliance with FPN, regulatory and HIPAA policies. Support established compliance documentation and recordkeeping guidelines. Support compliance with (where applicable) FPN/FGH information technology and acceptable use policies and procedures. As directed maintain, provide or support those tasks, policies and safeguards utilized to maintain a healthy, secure and work safe atmosphere for both patients and employees. Perform all duties in adherence to HIPAA regulations and guidelines. Protect the security of medical records to ensure that confidentiality is maintained

Finance
Enter new patient information or update existing patien! t information into EMR at the beginning of the appointment. Request patient payment (co-pays) for office visit at the time of service. Complete insurance and other claim forms. Interview patients to complete documents, case histories, and forms such as intake and insurance forms.
Documentation and Clerical
Greet visitors, ascertain purpose of visit, and direct them to appropriate staff. Answer telephones, and direct calls to appropriate staff. Schedule and confirm patient diagnostic appointments, surgeries and medical consultations. Operate office equipment such as voice mail messaging systems, and use word processing, spread sheet, and other software applications to prepare reports, invoices, financial statements, letters, case histories and medical records. Type all dictation and correspondence. Attends scheduled in-service education programs, keeping abreast of changes that affect job performance and the practice. Performs other functions in a coordinated team ef! fort, or as requested by the physician(s)’ or designated mid-level pr! ovider (s). Perform other business office duties as requested by FPN management. Receive and route messages and documents such as laboratory results to appropriate staff. Compile and record medical charts, reports, and correspondence. Transmit correspondence and medical records by mail, e-mail, or fax. Maintain medical records, technical library and correspondence files. Maintaining the overall appearance of the office.
