Location: Morgantown West Virginia

Description: West Virginia University Hospitals is presently looking of Clinical Scheduler - Cancer Center right now, this occupation will be placed in West Virginia. Summary: Responsible for scheduling of in and outpatient procedures, surgeries performed for MBRCC patients; schedule prepa! ration and scheduling data collection; provides registration and scheduling support to MBRCC patients as needed.

Essential Duties and Responsibilities:
1. Coordinates MBRCC complex schedule requests for surgical procedures, diagnostic testing /studies (i.e. MRI, PET, CT) relative to room allocation, supplies, and physician availability and capability for inpatient and outpatient.

1.1 Communicates consistently with multidisciplinary teams relative to scheduling and reporting activities

1.2 Schedules inpatient and outpatient procedures and surgeries in accordance with scheduling guidelines, with the ability to prioritize according to patient needs.

1.3 Returns scheduling calls promptly and courteously.

1.4 When scheduling patients, notifies appropriate department and patient of scheduled appointment time and transportation mode.

1.5 Identifies and communicates need for scheduling modifications and development.
1.6 Communicates perceived problem issues to MBRCC Cli! nic Management and/or Patient Access Supervisor.

1.7 Generates corrected schedules, notifying appropriate personnel of any scheduling change in a timely fashion.

1.8 Attempts to optimize and increase efficiency of study or procedure by recommending potential alternatives.

2. Consults with physician and/or multidisciplinary teams to ensure written/electronic orders exist and obtain them as needed. Verifies written/electronic orders with physician for accuracy and ensures that orders match schedules.

2.1 Upon receiving the written/electronic order, verifies completeness, notifying ordering physician of any inaccuracies.

2.2 Documents receipt of written/electronic order. Establishes and maintains filing system to ensure expeditious retrieval.

2.3 Performs daily audits to verify receipt of written/electronic orders, notifying ordering physician when one has not been received.

3. Verifies medical appropriateness base! d on department guidelines and updates schedule. Consults with insurance specialist for preauthorization approval.

3.1 Establishes and maintains a record keeping system/database of telephone calls and scheduling activities.

4. Screens telephone calls and ensure accurate and timely communication.

4.1 Answers all phone calls in a timely and courteous manner, identifying self and unit at all times.

4.2 Screens, evaluates, and prioritizes all incoming and outgoing telephone calls in such a way that urgent situations related to the provision of patient care are handled in an appropriate manner.

4.3 Refers phone calls to proper personnel in a timely manner.

4.4 Receives and responds to patient and staff needs and complaints appropriately within the realm of the “patient care” environment, involving department supervisors and patient representative as needed.

4.5 Ensures phone mail status is appropriate at all time! s (i.e. phone mail is turned off at the beginning of each working day).! Follows up or forwards phone mail messages in a timely fashion.

5. Assists with effective utilization of staff time.

5.1 Calls outpatients the day before their scheduled appointment, procedure, surgery verifying their commitment and rescheduling when appropriate.

5.2 Assists with identifying potential available patients to be rescheduled during scheduling crisis, and attempts to contact patient when necessary.

5.3 Establishes and maintains a recording keeping system for appointment wait times for all designated procedures.

6. Continually seeks education and training opportunities.

7. Participates in on-going education activities to develop, maintain, and enhance professional expertise as monitored by supervision.

  • Cooperatively interacts with the health care team to support and contribute to the shared group goals.
Position Requirements

Education and Experience:
  • High School or equivalent level of education.
  • Two (2) years relevant experience.
